We make your online reservation extremely satisfying, comfortable and without apprehension over your security, privacy and concern about online reservations.
Making an online reservation is easy. Just complete the reservations form: BOOK HOTEL, BOOK TOUR or BOOK TRANSFER online security SSL(128bit), making sure that you send us your e-mail address. As soon as we receive your request, we will reply within 24 hours.
If you would like to book our service offline, kindly print out the form and fill in this form BOOK HOTEL OFFLINE or BOOK TOUR OFFLINE. Once completed, please fax the form with one copy of 2 sides of your credit card with your signature to our Hanoi Head Office at +84-4-3923 1508 or scan it and email us to


1. Submit Inquiry

STEP 1: Guest will choose a specific package/flight/accommodation as indicated on our website and fill up the Request a Quote Form. Guest may also request for customized packages and just indicate them also in the said form. Inquiries may also be sent thru email. Our reservation staff/agents will quote you our best price that will meet your requirements and send this quotation thru email provided. For quotation request, rates are valid on specified date only. Unless booking/reservation has been made, all rates are still subject to change without prior notice. 2. Free changes as per request

STEP 2: Upon receipt of our quotation, please carefully study the itinerary and quotation that we have prepared. After that, should the guest have any questions or further requirements regarding the tour program, please feel free to contact  us to clarify the queries (if any). We will be pleased to make any viable changes to match the guests’ requests. Guests must be aware that rates sent in the quotation are still subject to change without prior notice since no booking has been made yet (Rooms are not yet confirmed).
3. Confirmation, booking & payment

STEP 3: Should the guest find our proposal/quotation interesting, guest/s can get back to us to confirm acceptance of our offer. Guest MUST email to confirm acceptance and check reservation details if it is correct. Passport of each guest must also be submitted thru email for booking. Guest must ensure that he/she have read our TERMS AND CONDITIONS  before accepting the tour program. When making a booking with us, the guest undertake that he/she has the authority to accept and do accept these booking conditions on behalf of yourself and your party.
STEP 4: Guest will receive thru email the BOOKING CONFIRMATION from us detailing the package inclusions, price, payment procedure and the payment deadline.
STEP 5: Once we receive a confirmation from guests through email, we’ll begin to confirm room availability and send details for payment thru email. All transactions are based on book and buy basis with whole period guaranteed. There is NO refund for any early check out, unutilized service or package inclusions. When hotel is available, reservation form containing the information of the guests will be sent thru email or personally thru our office to be filled up by the guests in order to proceed for booking. All the information related for the guest/s’ travel will be required: (1) Complete names of all the guests, (2) nationality, sex, age, (4) passport, (5) arrival & departures dates, (6) flight details, if available (7) Destination, etc. Also, when hotel is available, we’ll then send you the Statement of Account/Invoice and request your payment at that time. Only cash payment is accepted thru bank deposit or personally thru our office. Please take note of the deadline for payment. No booking will be made and will be automatically cancelled if not paid within the prescribed period.
STEP 6: After payment has been received, we’ll begin to book the tour package /flight. This process can take up to a few days or week, sometimes more in our heavy season so guests are advice to please plan to begin their trip reservations at least 3 months or more in advance if possible. By submitting the booking/reservation form and payment with us, the guests & party have agreed to our terms and conditions. This is like a contract signed between the guests (the clients) and Vietnam Charm Travel (the company).
STEP 7: Full Payments need to be received by Vietnam Charm Travel before your booking is considered CONFIRMED. Payments may be made directly thru our office or through bank transfer or via Onepay. We also accept payments through courier like Western Union for overseas clients.
STEP 8: Guest must inform us thru phone/text message/email once payment has been made and send the scanned copy of deposit slip in our email at
9. Documentation

STEP 9: Once full payment is done, a confirmation email confirming the receipt of payment along with the tour voucher, detailed trip itinerary and/or airline tickets, and official receipt will be sent to the guest thru email. Guest can print them off in the comfort of their home and bring everything along with the trip.
